Receptionist and Office Admin

Quazar is looking for a highly motivated person to join our group.

​

Reporting directly to the HR and Admin Partner, the successful candidate will be actively involved in the day-to-day accounting requirements within the department.

​

The duties of the Employee shall include but shall not be limited to, the following:

​

  • Provide general administrative and clerical support

  • Acting as first point of contact to clients, visitors and suppliers, by greeting and directing as needs be

  • Promote a professional image at all times and have a good knowledge of the services offered

  • Managing security and telecommunications systems

  • Handling queries and complaints via phone, email and general correspondence

  • Transferring calls as necessary, whilst taking and ensuring messages are passed to the appropriate staff member in time

  • Managing meeting rooms availability

  • Receiving, sorting, distributing and dispatching daily mail

  • Preparing vouchers

  • Handling transcription, printing and photocopying

  • Recording and maintaining office expenses

  • Updating calendars and schedule meetings if requested by management

  • Handling travel arrangements

  • Coordinating internal and external events

  • Managing office inventory such as stationery, equipment and furniture

  • Overseeing office services like cleaners and maintenance service providers

  • Setting up of rooms with necessary materials, equipment and refreshments for scheduled meetings

  • Ensuring the reception area, meeting rooms and the boardroom are always clean, organised and well-maintained is a must

  • Assisting other departments with clerical work when requested by management

 

Requirements:

 

  • Excellent verbal and written communication skills

  • Fluent in Maltese and English Language, Italian will be considered an asset

  • Good telephone communication etiquette

  • Organized and resourceful, and able to work on own initiative

  • Customer-focused and able to maintain a positive and professional attitude towards clients and colleagues

  • Active listener

  • Expert at prioritizing, scheduling, and multitasking

  • Ability to handle office equipment (e.g., the telephone system, printers and more)

  • Proficient with MS office applications

  • Having a Maltese driver’s license would be considered an asset
